AdviserLogic Tools – Admin Workflow

Overview

AdviserLogic's Admin Workflow is designed to streamline administrative processes, ensuring tasks are completed accurately and on time.

Enhance productivity, improve communication, and maintain a well-organised workflow system for your practice by establishing Admin Workflows.


Setup

To create an Admin Workflow, you'll first need to follow the Workflow Setup Instructions to set up the Workflow.

When creating the workflow, you must choose Administrative as the Workflow Type.

You can create an Admin Category by scrolling to the bottom of the categories drop-down, selecting <Add New> and following the prompts, or following the Category Creation Instructions for Workflow Categories.

Admin Workflow Access

To set up the Admin Workflow, navigate to Tools > Adviser Tools > General > Admin Workflows.


Select Add from the top right corner of the Admin Workflows window.


Create Admin Workflow

Please ensure that you complete all fields marked with a Red Asterisk*.

To prefill the Name field with a list of Workflows under a specific category, first select the previously assigned Category from the drop-down.


From the Name field, select the previously created workflow.

The Title will be populated from the Name field, this is an editable field and won't change the Name of the workflow in the Workflow Setup screen.

Add the Start On time by selecting the date from the calendar pop-out and entering the time in the time slot.

Admin Workflow Fields

To ensure tasks run smoothly and on time, it is best to complete as many fields as possible, even though only the ones marked with the Red Asterisk* are mandatory.

*Category

Created in Categories, once selected populates name list with Worklows assigned to the category

*Name

Created in Workflow Setup - will only show workflows assigned Admin tasks in the workflow setup stage.

Workflow Manager

Select adviser from the list in the drop-down menu

*Title

Copied from Name field but is editable

*Start On

Choose from the pop-out calendar and enter the time the workflow Starts

Due By

Choose from the pop-out calendar and enter the time the workflow is Due by

Description

Enter a description for the task

Budget

Enter a budget for the task if relevant

Assign Roles

Assign the roles from the previously created Pools the role assigned here will automatically populate all the Assignee fields

*Assignee

Assign the tasks from the previously created Pools

Est Minutes

Estimated minutes required to complete the task

Chance of Completion

Type the value for the estimated chance of completion


Saving Editing & Deleting Admin Workflow

Once you have added all the requisite fields, select Save and Close from the bottom right corner of the window.

The Admin Workflow will populate the list view window. The values for each field will show as columns in this view, along with an additional status column showing the Status of the workflow as Started, In Progress, Completed or Abandoned.


All Admin Workflows created will show on this screen, where they can be selected for editing or deletion.

To edit or delete an Admin Workflow, select it from the list, apply the requisite changes, then choose Save and Close or Delete.

📌Note

Please keep in mind that any changes you make will only apply to future uses of the workflow.


Workflows that have already been assigned are fixed and can only be altered for specific clients by manually editing them within the client's record.

Similarly, deleting a workflow will not remove any previously assigned workflows. Instead, it will simply prevent users
from using that workflow in the future.
