Workflow 2.0 in AdviserLogic

Overview

AdviserLogic's Workflow Module is a simple and efficient solution for managing your workflows. This tool helps automate routine tasks, track progress, and ensure compliance.

With an easy-to-use interface and practical features, AdviserLogic's Workflow Module lets you see all client tasks and workflows simultaneously, saving time, reducing errors, and improving client satisfaction.

Workflow Setup

Before using workflow 2.0, please ensure it is enabled in Tools, by navigating to the Tools button and toggling the workflow to On

Additionally, workflows will need to be set up by following the Workflow Setup Instructions - an Admin User must create these.

Manage Workflows

To manage existing Workflows navigate to Workflow 2.0 via Tools > Adviser Tools > General > Workflow or the Workflow icon on the left menu panel

This will navigate to the workflow landing page in the Pipeline view.

There are three different views in Workflow which have different features for tasks and workflows.

Shows all In Progress tasks for the workflow selected from the workflow dropdown.

Displays the Workflows, Workflow Tasks and Standalone Tasks with In-Progress, Complete and Abandoned status only.

Displays the Workflow Tasks as well as Standalone Tasks. It displays the task for all statuses In-Progress, Complete, Dormant and Abandoned. This view also allows you to perform specific searches by choosing data from several filters.

Pipeline view

The Pipeline view will show the workflows assigned to clients by task status.

The workflows and tasks are displayed as cards and the colour of the cards will show according to the status.

White

For In-Progress Tasks

Green

For Complete Tasks

Red

For Abandoned Tasks

This screen shows only In Progress Workflow tasks, however, it is possible to create an Advanced Search from the search drop-down to find other workflow tasks.

You can also search by workflow by name from the Workflow Name drop-down.

Timeline View

The Timeline screen shows all the Workflows, Workflow-tasks and Standalone-tasks for In-Progress, Complete and Abandoned status.

You can search by Day, Month, or Week on this screen. The Date range will show in blue along the top of the window and includes the cumulative budget for all workflows completed within that date.

The Date search filters include.

Month

Selecting Month will show tasks and workflows of the Current Month, along with the 5 previous months


Week

Selecting Week will show tasks and workflows of the Current Week, along with the 5 previous weeks


Day

Selecting Day will show tasks and workflows of Current Day, along with the 5 previous days.


Custom

Tasks and workflows can also be searched for by Custom Dates, as needed

The workflows and tasks are displayed as cards and the colour of the cards will show according to the status.

White

For In-Progress Tasks

Green

For Complete Tasks

Red

For Abandoned Tasks

You can also create an Advanced Search from the search drop-down to find other workflow tasks.

List View

The List screen has a control panel on the left side where you can select filters to search by. The section on the right will populate results from the applied filters.

The available filters are.

Status


Search for the workflow completion Status. Each Status type will show the number of workflows available within that filter each Status type has a colour associated with it that will show in the far right corner of the results once the filter is applied. You can choose from:

  • All

  • In-Progress

  • Complete

  • Dormant

  • Abandoned

Waiting On


Search for the workflow from the Waiting On field applied. Each Waiting On type will show the number of workflows available within that filter. You can choose from:

  • Us

  • Third-Party

  • Others

Due By


Search for the workflow by Due By fields. Each Waiting On type will show the number of workflows available within that filter. You can choose from:

  • Due Today

  • Due This week

  • Due Next Week

  • Over Due


Adviser

Search by advisers within your practice by selecting them from the drop-down


Client

Search by Client name by typing it into the search field and selecting it from the drop-down


Assignee

Search by Assignee by selecting them from the drop-down.


Assigner

Search by Assigner by selecting them from the drop-down.


Standalone

Ticking this field will include standalone tasks that sit outside a workflow


Workflow Task

Search by workflow task from a list of workflows previously created in Workflow Setup

Search from a list of task types

📌 Note

These filters can be used individually, or combined to help you find and manage existing workflows assigned to clients

Choosing the filters and then selecting the Filter button from the top right of the filters panel will populate the list on the right section only with the workflows that meet the parameters entered.

📌Note

The far right of the listed workflow will show a coloured triangle to indicate the status of the workflow if more than one status is selected. The colour will match the status colour from the status filter list.

The List screen can also be sorted by the Start and Due dates and further sorted by Ascending or Descending.

Options

Each screen has an Options button in the top right corner. These options allow you to set preferences and add workflows and tasks to client accounts. The List screen additionally, has an Export option to export a report based on the applied filters.

Setting Preferences

To set preferences about how the workflow module shows client data select preferences from the options dropdown.

You can change how the Workflow module represents information by selecting the variations from the drop-down menus in the pop-up window.

Three sets of preferences can be changed.

Client Name View

Set how the client name shows in Workflows. You can choose from:

  • First Name, Last Name

  • Last Name, First Name

  • First Name

  • Last Name

Card Size

Set the size the cards will show when accessing the workflow via the Pipeline and Timeline views - The card tile is slightly expanded, allowing more information to be seen.


Show Client Name in Detail View

Choosing Yes or No on this preference determines whether the client name shows in the top left-hand corner of the workflow when opened.

Applying a Workflow to a Client

To add an existing workflow to a client select the Options button from the top right corner of any screen. Each screen has its own set of options, however, you can find the Add Workflow option on all of them.

The Add Workflow window will open where you can enter all the client details pertinent to the workflow. All fields marked with a Red Asterix* must be completed to save the workflow to the client. It's recommended however that you apply as much information as possible.

The window is divided into two sections.

The Left Section

Governs all information about the client their accounts and the workflow


The Right Section

Governs the people working on the tasks and has fields related to roles and assignees

Add Workflow Fields

Left Section


Client

Start typing the client name then select them from the populated drop-down list


Workflow

Choose the workflow by name from the drop-down


Title

Populated by the Workflow Name - can be edited


Budget

Enter budget amount for the workflow if one hasn't been entered during the workflow setup


Workflow Manager

Select the Workflow Manager from the drop-down


Related To

Allows you to connect the workflow to non-human entities and multiple entities simultaneously, as it's a selection dropdown field


Start On -Hours/Minutes

Choose the workflow Start Date from the pop-out calendar. Type in the Hours and Minutes as the 24hr time format the workflow is due to start on


Due On - Hours/Minutes

Choose the date the workflow is Due By from the pop-out calendar.Type in the Hours and Minutes as the 24hr time format the workflow is due to be completed by

Right Section


Assign Roles


Assign the roles of Adviser, Paraplanner, and Practice Manager by selecting the options from their respective drop-downs. Roles can be created by following the Roles Category Creation Instructions.


Assign Tasks


All tasks will be assigned to the Adviser Role selected previously. These can be manually changed by selecting the assignee from the drop-down. You may also enter the estimated time in minutes as well as the chance of completion by typing these into the available fields.

⚠️Important⚠️

Workflows in AdviserLogic can only be applied to individual clients. Currently, there is no option to apply workflows in bulk across multiple clients.

Add New Task

To add a new task go to the Options button at the top right of the screen in Timeline - Task or List screens, then select Add Task from the drop-down.

The Add Task window is divided into two sections.

Left Section

Governs all information about the client, their accounts, and the Task


Right Section

Allows you to add checklist items

Export

From the List screen, you can generate a report based on the applied filters by selecting the Export option.

The report will be generated as an XLS Excel spreadsheet, allowing you to further filter and manage the data.

Editing, Saving, & Deleting Workflows & Tasks From Client Records

To modify workflows or tasks assigned to clients, navigate to the workflow or task window by selecting it from one of the screens:

Select the Workflow from the Timeline - Workflow option, and List screens.

or select the Task from the Pipeline, Timeline - Tasks option - or List screen.

This will open the Workflow or Task interface window. You can Toggle from Workflow to Task view once you have opened either type, as long as you are not in a standalone task that sits outside of a workflow.

📌Note

  • Opening a workflow will navigate to the most current or In Progress task in the workflow interface

  • Opening a task will take you to that task regardless of completion status.

Workflow Interface

The Workflow interface is divided into four sections.

Shows the Workflow Name and the completion status of tasks

A set of controls related to the workflow and tasks, allowing you to edit fields and make client-specific changes. This is also where the checklist items can be completed.

A set of controls related to actions that can be taken within the workflow:

  • Add Notes

  • Notifications

  • Attach Files

  • Copy File Notes

  • Add Recurrence

  • Add Recommendation

  • Switch Controls from Workflow to Task view

  • At-a-glance view of the number of Notes, Notifications, Files, and Templates related to the workflow

  • A list of notes related to the workflow

Top Section Controls

The top section of the workflow interface shows a timeline graph, with each task and its completion stage. Navigate to each task by selecting the task from this line graph.

Left Section Controls

The top bar of the Left Section controls shows a list with statuses for the selected task.

Selecting any of the displayed statuses will mark the chosen task as this status in the workflow timeline graph and throughout the Workflow module.

Choose the Status for the task, and then Set Task Status

📌Note

The Status bar will show as greyed out and non-editable, as long as the task is assigned to a Task Pool. The person who
takes the task from the pool must assign it to themself to change its status.

The rest of the fields are also editable by hovering over them and selecting the Pencil icon.

Edit Workflow Description

Hovering over the Workflow Description field and selecting the Pencil icon opens the Edit Workflow window.

Here you can make changes to the workflow, however, some key fields will remain greyed out and non-editable, to edit these fields you will have to modify the workflow in Workflow Setup.

Fields that can be edited.

  • Title

  • Budget

  • Workflow Manager

  • Related To

  • Start On/Due By

  • Description

Change the Assignee, Estimated Minutes, and Chance of Completion from the Tasks side of the window.

Make the changes necessary and select Save.

Edit Task Description

Similarly, hovering over the Task Description field and selecting the Pencil icon will open the Edit Task Window.

You can make changes, add checklists or checklist items, and modify all fields other than the Client field from this window.

Make the changes necessary and select Save.

All changes will be reflected throughout the workflow module, including the Tasks Widget.

The final field in the Left Section shows a breakdown of the two above fields, however, hovering over it and selecting the Pencil icon also opens the Edit Task window. To make changes related to the Budget or Time Spent, you must change the Workflow Description.

Middle Section Controls

The Middle Section is a column of buttons dedicated to the actions you may take within a task or workflow.

These actions are as follows.

Allows you to add task notes inside a Word-inspired text box

Opens the Alerts window where you can set alerts and reminders for the task.


Attach Files

Opens The Document upload window, where you can drag and drop files or upload them from your device

Copies the brief description and basic details of the task to the clients' File Notes

Opens the Recurrence window, where you can set values for the frequency a task recurs


Add Recommendation

This field relates to legacy functionality and is scheduled for removal - please do not use this

Add Notes

First Button

Opens a Word-inspired text box where you can add notes related to the task or workflow. Type in your notes, and use the controls to customise, and Save.

Notifications

Second Button

Set the conditions under which Alerts and reminders will be sent to relevant staff - Alerts can be sent to the Assignee, the Assigner, the Adviser for the client, or two additional roles - Client Services Manager and Practice Manager.

Any user can define themselves as one or both of these roles by using Role Defaults at the bottom of the Workflow Defaults window.

Attach Files

Third Button

Opens a window that allows you to attach any documents related to the task by selecting the Upload button from the bottom right of the tab window and following the prompts to upload a document from your device. Drag and drop files or browse your device to upload them.

Copy File Note

Fourth Button

Copies key data, related to the workflow task, to the client's File Notes.

Add Recurrences

Fifth Button

Choose whether the task should repeat Weekly or Monthly, and add the relevant frequency details to set the workflow recurrence.

Right Section Controls

Along the top of the Right Section, you will see the Workflow/Task toggle that allows you to switch from Workflow to Task view - This toggle governs whether the Notes and associated Notifications/Alerts you see populated below relate to all tasks in the Workflow or only the Task you are currently on.

Additionally, alongside the Workflow/Task switch is a summary of how many Notes, Notifications, Files, and Templates are attached to the Workflow or Task.

Options Within a Workflow Window

As on the main screens, you'll see an Options button in the top right corner of the workflow window. The difference here is that the options available within a workflow apply specifically to the workflow you have open.

The available options are.


Complete Workflow

Marks the Workflow as Complete


Abandon Workflow

Marks the Workflow as Abandoned


Delete Workflow

Deletes the workflow from the client's record

These actions are then reflected everywhere Workflows/Tasks are found in AdviserLogic

Download Logs

Downloads a Log of the workflow tasks into a tabulated Word document to your local downloads folder


Export Notes

Downloads all Notes associated with the task into a tabulated Word Document to your local downloads folder
