Overview
AdviserLogic offers three powerful Smart Email Shortcuts — @M, @D, and @T — to help you manage client communications, documents, and tasks more efficiently. These features allow you to forward emails from your Outlook or Gmail account directly into AdviserLogic, where they can be processed, categorised, and assigned without manual data entry.
📨 @M (Email Import) - Forward multiple client emails at once and import them as separate entries for easy assignment.
🗃️ @D (Document Vault) - Email attachments directly into a client’s document vault with categorisation control.
🚩 @T (Tasks) - Create and assign client tasks by simply forwarding an email.
Each function is triggered by entering a specific code (@M, @D, or @T) in the subject line of your email and forwarding it to your unique AdviserMail address. This saves time and ensures all relevant information is captured and stored correctly in the system.
These tools are handy for managing high volumes of communication and ensuring documentation and tasks are accurately tracked against each client’s record.
✉️Smart Email Shortcuts
📨@M Function – Bulk Email Import
The @M function allows you to forward multiple client-related emails from Outlook or Gmail into AdviserLogic, where each attached message is automatically imported as a separate entry.
👉 Select Multiple Emails
Follow the multiple email selection instructions for your provider
To select multiple emails in any mail folder:
For individual selections: Click on the first message, then hold Ctrl and click each additional message you want to include.
For a consecutive group: Click the first message, hold down Shift, then click the last message in the range. This will select all messages in between.
Right-click on the list and select Forward.
📌Note
This functionality is only available within the desktop version of a paid Outlook account
A new message will open with the selected messages as attachments. Address and compose this new message and then click Send.
Select the tickbox in front of the emails you wish to forward, right click on the list and select Forward.
In the Subject line, enter @M and send the email to your AdviserMail address.
📌Note
You can access your AdviserMail address by selecting the Import Email option from the left menu — your unique AdviserMail address will be displayed in the top-left corner of the screen.
AdviserLogic will discard the umbrella email and treat each attached email as a separate record, as though they were forwarded individually.
After forwarding, navigate to Import Email located on the left menu. Each email will appear as an individual row.
📌 Notes
Duplicate protection: Emails already imported will be automatically discarded to prevent duplication.
Only email (.eml or .msg) attachments are processed—other file types (Word, Excel, images, etc.) will be ignored.
The total email size must be under 28MB.
To assign a client to an email, begin typing the client's name in the first column next to the relevant email entry. A list of matching clients will appear—select the correct one to complete the assignment.
Once you’ve assigned each email to the appropriate client record, tick the Confirm checkbox next to each entry. Then, select Confirm and Create All to finalise the assignment and save the emails to the respective client files.
A confirmation prompt will show, and all the records will be removed from the list.
Each individual email will be recorded in the client's File Notes, with the full message included as an attachment for easy reference.
🗃️@D Function – Import to Document Vault
The @D function allows you to import documents directly into a client’s Document Vault, allowing you to categorise them during the import process.

Select the appropriate Document Category from the last column, ensuring each file is correctly classified before being saved to the client’s Document Vault.
📌Note
Categories can be created by following the Document Category Creation Instructions
Tick the Confirm checkbox, then select Confirm and Create All to complete the upload and assign the document to the client’s Document Vault.
The email will appear in the client’s Document Vault as separate, individual documents—securely stored and easily accessible for future reference.
🚩@T Function – Create Client Tasks via Email
The @T function allows you to forward client-related emails from Outlook or Gmail into AdviserLogic, converting the forwarded message into a task that can be assigned to a specific client.

Once you’ve assigned each email to the appropriate client record and assigned a task category, tick the Confirm checkbox next to each entry. Then, select Confirm and Create All to finalise the assignment and save the emails to the respective client files.
The task will appear in the assigned client’s Tasks tab, ready for tracking and follow-up.
Opening the task will display a list of any attachments included with the original email, allowing for easy reference and access.
