Integrating Mailchimp with AdviserLogic (via Datafeed)

Overview

The Mailchimp integration in AdviserLogic allows you to export targeted client groups directly into your Mailchimp account, helping you streamline newsletter campaigns and bulk communications. This is a one-way integration, meaning data flows from AdviserLogic into Mailchimp, not the other way around.

To begin, you’ll need an existing paid Mailchimp account and access to your Mailchimp username and API key, which will be entered into AdviserLogic’s Datafeed settings.

Once connected, you can sync client groups via the Group Management screen, enabling efficient list segmentation directly from your CRM data.

📌Note

AdviserLogic does not receive updates from Mailchimp. Any client preference changes (such as unsubscribes) must be updated manually within AdviserLogic.

This guide walks you through both the Mailchimp setup and AdviserLogic configuration steps, including syncing client groups and handling unsubscribed contacts.

Mailchimp Setup


👤 Locate Your Mailchimp Username

From your Mailchimp account, select your profile icon and navigate to Profile. Note down your Username, as you’ll need it later when setting up the datafeed in AdviserLogic.

🔐 Generate Your API Key

From the top menu of the Profile screen, select Extras, then choose API Keys from the dropdown menu.

Scroll to the bottom of the API page and select Create A Key.

Enter a descriptive name (e.g. AdviserLogic Integration) and select Create Key.

Once generated, select Copy to Clipboard and store the key securely.

Configure AdviserLogic

🔧 Add the Datafeed

The Mailchimp integration is managed via a datafeed in AdviserLogic. To begin, log in to AdviserLogic and navigate to Datafeeds from the left-hand menu. Select Add in the top-right corner, then choose Mailchimp from the Account Provider Mapping dropdown list.

Enter your saved Mailchimp Username and API key in the relevant fields. Tick the checkbox Sync to Mailchimp and select Save.

You’ll see a confirmation message.

The connection will now appear in your Datafeeds list.

📌Note

The Last File Received column will display Never — this is expected, as Mailchimp only sends data.


👥 Sync a Group to Mailchimp

Navigate to Email > Group Management from the left-hand menu.

Either create a new client group using filters, or select an existing group from your saved list.

Apply your desired filters and review the list of selected clients to ensure accuracy.

When your group is finalised, select the Sync to Mailchimp button in the top-right corner.

A brief confirmation message will appear, indicating that the sync has started.

Please allow some time for the sync to complete—the duration will depend on the number of clients being exported.

📬View Your Audience in Mailchimp

Log back into your Mailchimp account using your usual credentials. From the left-hand menu, navigate to Audience > All Contacts.

You will see a new audience listed, automatically named after the client group you synced from AdviserLogic.

Select the audience to view the full list of contacts, including the synced client details such as names and email addresses.

📌Note

This list reflects the data that was current at the time of sync. Any future changes in AdviserLogic will require a new sync to update Mailchimp.

👉 Reminder

This integration does not send data back into AdviserLogic. Changes made in Mailchimp — including contact edits or unsubscribes — will not reflect automatically.


🚫 Managing Unsubscribed Clients

For clients who have unsubscribed from your newsletter, begin by exporting a list of unsubscribed contacts from Mailchimp.

In AdviserLogic, open each client’s profile and navigate to Fact Find > Contact. In the Contact section, untick the “Subscribe to Newsletter” box to update their communication preferences.

Next, go to Group Management and reapply the filter “Is Subscribed to Newsletter.” This will refresh the group to include only clients who are still opted in, automatically excluding those who have unsubscribed.

Save the updated group once the list is repopulated with any newly eligible or no longer eligible clients.

Resync to Mailchimp.

💡 Tip

Repeat this process regularly to ensure your mailing list remains compliant with client preferences.

📝 Duplicates in Mailchimp

⚠️ If a client’s details (e.g. email address or name) are changed in AdviserLogic and re-synced, Mailchimp may treat this as a new contact and create a duplicate.

To avoid confusion:

  • Remove the outdated contact in Mailchimp before or after syncing.

  • Review duplicates under Audience > All Contacts.

Any changes to the client’s details will create a duplicate contact – remove the original client contact in Mailchimp either before or after the Sync takes effect. See Example Client 3


❓Frequently Asked Questions (FAQs)

Why isn't my data syncing between Mailchimp and AdviserLogic?

Ensure your API key and Username entered in AdviserLogic match exactly with those in your Mailchimp account. Check your internet connection, and confirm that the Mailchimp API key hasn't expired.

How frequently does data sync occur?

The Mailchimp integration with AdviserLogic is actually a one-way integration that sends data from AdviserLogic to Mailchimp, rather than a recurring sync.

When you set up the integration and select "Sync to Mailchimp" for a group, the data is sent to Mailchimp. After that, any updates or new syncs need to be initiated manually by selecting the group and choosing "Sync to Mailchimp" again.

The sync doesn't happen automatically on a schedule, so you have control over when to update your Mailchimp audience with the latest data from AdviserLogic.


What do I do if I receive an "Invalid API Key" error?

Verify your API key in your Mailchimp account settings and copy it again carefully. Re-enter it in AdviserLogic's Datafeed settings. If the problem persists, generate a new API key from Mailchimp.
