Overview

The Group Management feature in AdviserLogic streamlines the process of sending a single email to a targeted group of clients, allowing for efficient communication with multiple clients at once. Whether you're sending review reminders, event invitations, or general updates, grouping clients ensures accuracy and consistency in bulk communication.

This feature allows you to create, manage, and reuse custom client groups—saving time and improving workflow across your advice practice. Groups created in the Email section are also accessible in Mail Merge and SMS, making them versatile across different communication tools.

Follow the steps below to create and manage client groups in AdviserLogic.

Access

To access the Group Management section, navigate to the Emails section by selecting it from the blue menu on the left-hand side of your AdviserLogic screen.

The email window will open,select Group Management from the top right of the Email window.



You will be directed to the Group Management window, which is divided into three main sections:

  • Top section – Filter Controls
    Use this area to apply filters such as adviser, client status, or category to refine your client list.

  • Left section – Unselected Clients
    Displays a list of clients based on the filters applied above. If no filters are selected, this section will show all clients in AdviserLogic with email addresses.

  • Right section – Selected Clients
    This area will populate with clients you’ve chosen from the left-hand list. These are the clients who will be included in your email group.

👥Group Management

The Group Management window allows you to create and select client groups for bulk email sending.

From this window you can choose predefined client groups or apply filters to clients to create custom groups based on specific criteria such as adviser assignment, service type, review due dates, or client status.

This feature streamlines bulk communication by ensuring documents are only generated for relevant clients.

Filtering Clients Overview

To tailor client groups, apply General and Financial filters

These filters will populate a list of clients in the Unselected Clients screen that can be chosen to create the Group, allowing for more refined group selection. Filters can be combined to create highly targeted client segments for focused engagement.

Once you are satisfied with your filter selections, select the Apply Filters button. This will update the Unselected Clients section on the left, displaying a list of clients who match the specified filter criteria.

Select the clients to add to the group by ticking the checkbox in front of them. and save group.

Group Management Fields – Explained

Use this field to locate a specific client within your client list using their name or email address.

Allows you to search for a previously saved client group. Handy for reusing existing filters or segments.

Apply filters based on adviser, client type, status, service, or other criteria to create a targeted group.

⛔Unselected Clients

Displays all clients matching your current search or filter criteria who have not yet been added to the group.

✅Selected Clients

Shows clients you’ve chosen to include in the mail merge. Move clients from Unselected to Selected by ticking the checkbox.

📧Email Column

Displays the client’s primary email address to help confirm identity and ensure accuracy.

Apply Filter

Applies the selected criteria to narrow down the client list for selection.

📥Save Group

Saves changes made to an existing group (if you're updating a saved group).

🆕Save as Group

Saves the current selection as a new group for future use.

Deletes an existing group (use with caution – this action is irreversible).

🔙Back Button

Returns you to the previous Mail Merge screen without applying changes.

🔎Search List

Use the search field on the top left of the group management window to search for specific clients.

Search results will show in the unselected clients column. Select the tickbox in front of the client to include in the group. The client will move to the selected client's column.

🔍Search Group

Use the Search Group field in the top right of the window to locate a previously saved group from the dropdown options. Once selected, all associated clients will automatically populate in the Selected Clients column.

Filter Clients

To Filter Clients, use the available filter options located below the search fields.

You can choose from three filter types to refine your client list:

Filter by non-financial client details such as Category, Adviser, Date of Birth, Dependants, or Gender.

Filter clients based on financial parameters like Net Worth, Income, or Assets.

📝 Custom Filters

Pull data directly from your Custom Fact Find fields, allowing tailored filtering based on your practice-specific requirements.

*Custom Filters are only available if you have created Custom Fact Find Fields

These filters can be applied individually or combined to create precisely targeted groups.

To apply a filter, simply select an option from each drop-down menu. As you make a selection, additional dependent fields will appear, allowing you to further narrow down your client list. Continue refining your criteria until no further filter options are available—ensuring you create a fully customised group based on your specific needs.

When you select a Filter Type, the system will display relevant options in the next filter field. This allows you to progressively refine your search based on the selected category or client attribute.

The Date Filters are dynamic and automatically update the widget results based on the set date parameters.

👉 For Example

If you configure the filters for a 1-month period, the widget will continuously add new results each day as they meet the criteria.

Creating a Group

To refine your client search results, you can combine multiple filters from General, Financial, or Custom Filters. This allows you to create highly targeted client groups based on specific criteria.

Select a Filter Type:
Choose the filter category you wish to use — General Filters, Financial Filters, or Custom Filters — from the dropdown menu.

Set Filter Conditions

After selecting the filter type, a field of available conditions relevant to that filter will display. Continue refining until no further fields appear.

👉 For example:

  • General Filters might include age range, adviser, review dates, or marital status.

  • Financial Filters may include net worth, income, or superannuation balance.

  • Custom Filters will show any custom fields created in your Fact Find.

Once you select the Apply Filter button, a list of clients matching the chosen conditions will show in the Unselected Clients column, allowing you to review and refine your selection further.

📌Note

If a client’s name does not appear, ensure that their email is entered in the Fact Find. This step is crucial for successful group creation.

👉 Repeat the process to apply multiple filters.

Each additional filter further narrows the search results, allowing you to focus precisely on clients matching all selected criteria.

📌Note

  • The more filters you add, the fewer clients will meet the conditions and populate the list—keep this in mind when creating your group.

  • If clients aren’t appearing in the list, review your filters and double-check the client’s information in Fact Find to ensure they aren’t accidentally excluded.

  • Once applied, all active filters will display. You can remove or adjust filters as needed by selecting the X at the end of the filter row.

💡Tip

Using multiple filters is ideal for creating targeted client groups, such as clients aged 55+, with upcoming reviews, or holding specific insurance policies.

This process helps generate accurate, meaningful client lists for reports, campaigns, or focused advice delivery.

Review and finalise your client group by previewing the filtered client list. To add clients to your group, tick the checkbox next to each client in the Unselected Clients column.

Alternatively, you can use the master checkbox beside the Client Name heading to select all clients that match your filter criteria. Once selected, these clients will automatically move to the Selected Clients column.

Select Save Group to save it as a new group.

📌Note

You can choose Save As to create variations.

A confirmation prompt will open, allowing you to enter a Group name.

💡 Tip

Assign a clear and descriptive name to your Client Group during the final step when prompted—this helps you easily identify it later

Your saved group name will automatically become available in the Select Filter Group

📌Note

Any group you create here will also be available in the Mail Merge & SMS sections. Likewise, groups created in the Mail Merge and SMS sections will automatically appear in Email, ensuring consistency across both communication tools.

You can also use the Group to send an email by selecting it from the To button on the Send Email screen.

Choose the group from the Send To > Select Group drop-down.

Select Apply Filter.

The selected Group will be added as recipients of the email.

Additional Group Management Features

⚖️Static vs. Dynamic Groups

In AdviserLogic, groups are static by default, meaning they do not automatically update when client data changes. However, the platform supports both static and dynamic approaches to group management, giving you flexibility depending on your needs.

👉 Static Groups (Default)

Once a group is created and saved, it remains unchanged unless manually updated. This is ideal for scenarios where the group membership should stay consistent over time—such as communication lists for long-term clients or one-off campaigns.

🔄 Dynamic Groups (Manual Refresh)

If you require up-to-date group membership based on current client data:

  1. Navigate to Group Management.

  2. Open your saved group.

  3. Select Apply Filter to refresh the list based on the latest criteria.

This will update the group as follows:

  • New clients who now meet the filter criteria will appear in the Unselected Clients section.

  • Existing clients who no longer meet the criteria will be removed from the Selected Clients section.

This dual approach allows you to maintain fixed client groups for stability or refresh them as needed to reflect the most current data—ensuring your communications remain targeted and relevant.

📝Edit Group

To edit an existing group navigate to the group management screen and select the group from the group search dropdown.

The group name will show in the Search Group Field, apply the requisite modifications, apply filter if needed and save.

🗐 Duplicate Group

From the Group Management section, select any group from the Search Group drop-down to create a duplicate group under a different name.



Choose the clients to populate the new group, and apply any additional filters. Then select the Save As Group button at the bottom of the screen.



A confirmation dialogue will request a new name for the group. Enter the new name for the duplicated group, and select OK to save.


⛔Delete Group

Select the group from the Search Group drop-down and then the Delete button at the bottom left of the screen to delete the group.



Selecting Delete will open a confirmation dialogue.

Selecting Yes will delete the group.
