⚠️Administrative tool access is required to assign user roles
Overview
You can provide temporary access to external paraplanners or support staff by using AdviserLogic's User Access feature.
Access can be restricted to specific clients and modules, and revoked once their role is complete.
This approach ensures data security and supports compliance while allowing collaboration where needed.
🔐 What You Need to Know
Access is assigned client-by-client and module-by-module
You can apply rules that dynamically control visibility
Users with temporary client access can only access clients specifically assigned to them
Once their task is complete, you can revoke access by updating the settings or removing client assignments
🚧Important🚧
To maintain client data security, we recommend that external are users not granted administrative access within AdviserLogic.
🔐Assign Access Level
Once you’ve ensured your external paraplanner has been added to your AdviserLogic system, you can assign tailored access to specific clients and modules.
To assign access, navigate to Tools > Admin Tools > Practice Management > User Access menu.
Select New Client Access from the top right of the user management window.
📌Note
If you cannot access this feature, please follow the Request Administrative Access Instructions
The New User Access List window in AdviserLogic provides a clear, card-based overview of individual users and their assigned client and module access.
Each tile on this screen represents a single user and displays key information.
Select the User Access List ➕ button to assign access.
Choose the external paraplanner from the User Access List window.
Select Proceed to Filter Client
🔏Assign Access
Use the Client Service Manager filter to select the external paraplanner from the list of available staff. Once selected, choose Proceed to Set Access from the bottom right of the window.
📌Note
To prevent unintended access issues, please ensure no additional filters are selected unless specifically required.
👉 Example
External Paraplanners should only see clients in NSW
Client Service Manager = External Paraplenner Name
+ Category = NSW
🗃️ Set Module Access
In the Module Access screen, assign the required level of access to the AdviserLogic modules:
Full – allows full access and edit capabilities
Read Only – for view-only access
No – to restrict access to certain modules
Choose access levels based on the work they need to complete (e.g., Fact Find and File Notes only).
Select Grant Access to apply the settings.
💡 Tip
If the user needs access to only one or two modules, ensure others are set to No to maintain security.
✅ Important Considerations
Access rules act dynamically – if filters like Client Service Manager are used, any future client tagged with that paraplanner will be visible to them
To revoke access, remove the user from the Client Service Manager field or manually deselect clients
Avoid selecting all filters unless necessary – more filters narrow the list of visible clients
By following these steps, you can confidently manage temporary user access for external team members — securely and efficiently.
👉 For in-depth User Access instructions, follow the User Access Management guide in the Help Centre.
👥Assign Clients
Once you’ve assigned user access for an external paraplanner, you can now assign them clients.
To do this, navigate to the relevant Client Record > Fact Find > Internal > Additional Information section.
From here, set the Client Service Manager field to the external paraplanner’s name. This will automatically grant them access to that specific client.
This access can easily be revoked once the paraplanner has completed their work by reassigning the Client Service Manager role back to the adviser. This will immediately remove the client from the paraplanner’s access list.
