File Notes Audit Trail & Reporting (File Notes Module)

Overview

We have introduced an Audit Trail feature to help minimise and manage compliance risks. This enhancement ensures that every action, whether creating, updating, or deleting file note entries, is logged in our system, covering File Notes, Database Segments, and the User Interface.

Each record now includes user details and time stamps, improving transparency and accountability. You can run compliance reports directly on these time-stamped logs.

Additionally, the File Notes screen has been updated for a more user-friendly experience. The table header now displays Last Updated, and time-based sorting has been added, making it easier to track the most recent changes and the users responsible for them.

Instructions

To use the new feature, open the File Notes section within a client record. The Last Updated column shows the user who most recently edited the file note, along with the date and time of the update.

From this screen, you can also select the Last Updated or Date Entered column headers to sort file notes in ascending or descending order, making it easier to review recent activity.

Reporting

This release also includes enhancements to Database Segments, enabling you to extract a File Notes Log with detailed time stamp information for improved reporting.

New fields, such as File Note Delete Logs and File Note Update Logs, have been introduced to provide clearer visibility over changes made to File Notes.

All log data is retained in the database for seven years, ensuring compliance with regulatory requirements and guidelines set by the Australian Securities and Investments Commission (ASIC).

📌Note

These changes are not retrospective, any modifications made before December 2023 cannot be tracked via reports or on the User Interface.
